How to send a document for signature from multiple people
· 5 min read
A document with one signer is simple: you fill it in and you're done. A document that needs two or more people to sign — an offer letter countersigned by HR, a vendor agreement both parties sign — needs a real process for who signs when, and what everyone else sees while they wait.
Adding recipients and fields
Upload the PDF, then place the fields each signer needs to fill — signature, name, date, or free text — and assign each field to a specific recipient. A field left unassigned defaults to whoever has the document open, which only makes sense for a single-signer document.
Sequential vs. parallel signing
Sequential signing sends the document to the first recipient, and only opens it to the second once the first has signed — useful when a later signer's decision genuinely depends on an earlier one, like a manager countersigning after an employee accepts an offer.
Parallel signing sends the document to everyone at once, and each person fills in their own fields independently. This is faster and is the right default when the signers aren't actually waiting on each other, such as two vendors signing separate signature blocks on the same contract.
What a recipient actually sees
Each signer gets their own link tied to an access token — not a shared link, and not the sender's editing view. Opening it shows only the fields assigned to them; they can't see or edit another signer's fields, and in sequential mode a later signer's link doesn't unlock content until their turn.
What happens when the last person signs
On the final signature, the completed document is assembled — every recipient's values stamped into the original upload — and a Certificate of Completion page is appended recording who signed, when, and from where. Every party who signed can then access the finished, signed copy.
Frequently asked
Can I see who has and hasn't signed yet?+
Yes — the document's status reflects each recipient's state (pending, viewed, signed, declined), so you can see where it's stuck without contacting anyone directly.
What happens if a recipient declines to sign?+
A decline is recorded as an event with the document, rather than silently leaving it stuck — the sender can see that a specific recipient declined and follow up outside the tool, since nothing here can compel someone to sign.
