How to roll out one email signature template across your whole team

Left to individual judgement, a ten-person team produces ten slightly different signatures — a different font size here, a missing job title there, an old phone number nobody updated. Rolling out one template fixes this at the source, but only if the setup actually locks in a way people can't quietly work around.
Start from one template, not one example
Design a single signature layout with placeholders — name, job title, phone, email — rather than a finished signature you expect people to copy and hand-edit. A finished example gets copied once and drifts from there; a template with real placeholders regenerates correctly for every person, indefinitely.

Importing a team from a spreadsheet
For more than a handful of people, import rather than build each one by hand. A CSV or Google Sheet with name, title, email, phone and department maps onto the template's fields, and each row becomes that person's own signature automatically.
Flexible header matching matters here — a real HR export rarely uses the exact column names a tool expects, and having to rename spreadsheet columns to match a rigid import format is friction that causes people to give up halfway through.
What 'locked' should actually mean
A signature is only genuinely consistent if individual employees can't edit the branding — colour, logo, layout — themselves. If the tool hands each person an editable copy of the template, you've distributed ten opportunities for drift, not solved the problem.
Locking should still leave the parts that are legitimately per-person — the individual's own name, title and contact details — untouched, since those aren't the source of inconsistency; the shared design elements are.
Splitting a team into groups
Not every rollout is one template for everyone. A sales team and a support team reasonably want different banners or slightly different layouts, while still sharing the same underlying brand.
