A signature that works well for a solo founder is wrong for an HR team, and a signature built for HR is wasted on sales. The right layout follows from what the recipient is actually likely to do next.
Sales
Sales email gets forwarded and reread days later, so the signature should make it trivial to act without replying: a direct phone number, and a booking link if you take meetings. A photo helps here more than almost anywhere else — sales is relationship-led, and a face attached to a name measurably changes how a cold or lukewarm email reads.
Skip the job-title flourishes and multiple secondary numbers. One clear way to reach you beats three options that make the recipient choose.
Founders
A founder's signature is read by investors, customers and press, often as the first real signal of how the company presents itself. Restraint reads as confidence here — name, title, company, one contact method. If the company has had genuine press coverage, a single 'As seen in' line can work; a signature that lists five badges reads as trying too hard.
HR and operations
HR email frequently carries policy weight — offer letters, benefits notices, compliance reminders — so a short confidentiality line is more justified here than almost anywhere else. Include a link to the employee handbook or HR portal if one exists; it turns the signature into a real resource instead of a formality.
Avoid personal social links on HR signatures specifically — the role represents the company in a way that makes a personal Instagram or X link feel out of place, even if it's completely fine on a sales or marketing signature.
Agencies
An agency signature has two jobs: identify the individual, and reinforce the agency's own brand across everyone who sends email — which is exactly where consistency breaks down without a shared template. A portfolio or case-study link earns its place here in a way it wouldn't on an internal-facing HR signature.
Keep the agency's logo and colour locked across the team rather than left to individual taste; the whole value of an agency signature is that a client sees the same professional identity no matter who on the team emails them.
